How to Track, Assign, and Check In/Out Assets Using Asset Intelligence

The Asset Intelligence feature in Vision InSites gives your team the power to check items in and out with full transparency and accountability—whether internally for your team or externally at a client site.


Getting Started

1. Access the Assets Tab

  • Navigate to Sites and select your desired site (e.g., Infinity Offices).

  • Click on the Assets tab to the right of the Sites tab.

Here you’ll see:

  • Checked Out Assets – Items currently in use with assigned contacts.

  • Available Assets – Items ready for use.


Adding a New Asset

Click Add New to create a new asset.

You can:

  • Upload a photo or take a live photo to autofill asset details (name, type, description).

  • Manually enter information if no image is available.

Once uploaded:

  • The system auto-generates a detailed description and asset type.

  • You can add additional fields like serial number or scan code (optional barcode integration for mobile scan-based check-ins/outs).

Click Update Asset to save your entry.


Checking Out an Asset

To assign an asset to someone:

  1. Select the asset and click Check Out.

  2. Use the contact dropdown to choose from existing site contacts or create a new one.

    • To add a new contact: Enter their name, email, and phone number.

  3. (Optional) Add a note (e.g., “Security Officer Connor, Badge 101, checked out the item”).

  4. (Optional) Snap a photo or video of the item’s condition before handing it over.

  5. Click Done.

A timeline entry will be automatically generated showing:

  • Who checked out the item

  • When it was checked out

  • Any notes or condition photos


Checking In an Asset

When the item is returned:

  1. Open the asset and click Check In.

  2. Confirm the contact details.

  3. Add a note about the condition (e.g., “Jacket returned in good condition”).

  4. (Optional) Take a return photo or video for documentation.

  5. Click Done.

The asset will move from the Checked Out section back to Available and a new timeline entry will be created.


Asset Timeline

Each asset has a built-in timeline that:

  • Tracks all check-in and check-out events

  • Shows contact names, timestamps, and notes

  • Helps maintain full accountability and audit readiness

You can also view this activity at a global level from the Activity Dashboard.


Best Practices

  • Always document asset conditions with photos before and after use.

  • Ensure contact info is accurate for accountability.

  • Use barcode scan codes for faster mobile check-ins/outs (optional).
